Position: Project Administrator
Position Summary
Main Duties under the purview of Project Administrator is quite diverse. The Project Administrator is support to the Project Manager for the project success. Detail orientation and organizational skills are required for this position
Position Duties
Essential Duties:
- Administrative Duties
- In depth understanding of project scope
- Schedule and attend project related meetings under the direction of PM
- Take meeting minutes and distribute appropriately
- Organize project related notes, documents and files in the SharePoint
- Maintain up to date project records and documents
- Interface with customer when requested or needed
- Project related travels - minimal
- Document Support
- Organize project related documents in a systematic method
- Translate and/or reformat project related documents from other team members or third-party entities such as subcontractors, suppliers or HQ
- Incorporate third party documents into Woojin document under the direction of PM
- Create or review document revisions and maintain good revision notes for traceability
- Maintain an up-to-date project schedule
- Maintain an up-to-date technical documents with revision notes for traceability
- BOM
- BA Analysis
- Drawing and Drawing logs
- Delivery item list (Packing List)
- Review and confirm revisions are in line between BOM and drawing
- Headquarter Interface
- Communication with HQ engineering team for support
- Requesting revisions
- Confirming information
- Information on irregularities
- Travel to HQ for project needs - minimal
- Project Support
- Support PM with all project related duties
- Research project materials and submit requisition to purchase project materials, sample products and consumables as needed
- Research potential suppliers for quote, lead time or technical information under the direction of PM
- Maintain record of component tracking to meet the timeline of project production and delivery schedule
- Assist Other Project Team Members
- Assist with administrative tasks of other project team members when needed
- Attend and report at WISA mandatory meetings
- Attend and report to meetings as requested by upper managers
- Follow WISA company procedures and policies
Other Duties:
- Teamwork and Facility/Equipment Maintenance
- Work as a WISA team member supporting each other for mutual success
- Support all areas of WISA facility in organized and clean manner
- Participate in weekly cleaning of the facility
Skill Requirements:
Hard Skills:
Ability to create organizational system to efficiently maintain, identity and track
Proficient in Microsoft Office with focus in Excel and Word
Ability to work with remote meeting and working environment
Working with various applications for efficient task completion
Some experience or knowledge in working with drawings
Some experience or knowledge in working with BOM
Some experience or knowledge in working with other technical documents
Technical writing or working with technical documents is preferred
Business writing experience is preferred
